How stock works
Purchases, batches, first in first out, and corrections.
Stock is never a number you type. It is what you bought and have not sold yet.
Purchases
Stock, Purchases. A purchase from a supplier holds lines: a product, a quantity and a Cost per unit. Extra costs, like shipping, are spread over the lines by their cost.
A purchase is Ordered until the goods arrive; Mark as received makes it Received. Only received lines are stock.
For one product, Add stock in the Stock table on the product does the same, on the shelf now or still on order.
Batches, oldest first
Every received line is a batch with its own cost. A sale takes from the oldest batch first, and the order line keeps that cost. So your margin is what you really made, even after your buying price moves.
Corrections
On the product, Stock, Correct stock.
- Adjustment. -1 writes one off, 2 adds two.
- Reason. Miscount, Damaged, Opened myself, Lost, Returned to supplier, or one of your own.
The history
Stock history on the product lists every change: received, sold, returned, written off, corrected. Each line shows the unit cost, the order or purchase, the reason and who did it.
